Bring the policyholder into the claim

Invite the policyholder, and the carrier when you choose, to their own secure view of the claim. Receipts, photos, item changes, messages and signatures arrive inside the claim, waiting for your approval, instead of scattered across email threads.

From email threads to one claim

The claim depends on what the policyholder sends you. Without a portal, it arrives in pieces, in whatever channel they found first.

The manual way

  • Receipts arrive as email attachments, texts and photos of photos.
  • You ask for the same document twice because the first copy is buried in a thread.
  • Item corrections come by phone, and nobody wrote down what changed.
  • Forms go out as PDFs to print, sign, scan and send back.

With ClaimTime

  • The policyholder uploads receipts, photos and documents straight into the claim.
  • Every upload waits in one review queue until you approve or reject it.
  • Item corrections arrive as change requests you approve one by one.
  • Documents are shared and signed in the portal, with a certificate for every signature.

One claim, everyone on it

  1. Create the claim. Open the claim as you always do. The portal shows the policyholder exactly this claim and nothing else in your workspace.
  2. Invite the policyholder. Enter their name and email. ClaimTime emails a link and an access code that starts with CT-, valid for 7 days.
  3. They sign in and upload. They set a portal password, then upload receipts, item photos and documents from their phone's browser, camera included.
  4. You approve or reject. Uploads wait in the Policyholder Uploads queue. Approve a photo into a room and start AI analysis, or reject it with an optional reason.
  5. Changes come as requests. When the policyholder corrects an item's title, price, quantity, age, notes or room, you see each change and decide.
  6. Messages stay on the claim. Questions and answers live in the claim's portal messages, next to the uploads they're about.
  7. Share and sign. Share documents to the portal and request signatures. Place signature, initials, date and name fields on a PDF before you send it.
  8. Add the carrier. Authorized carrier contacts get their own portal: they view the claim, upload, propose item changes, message and sign.

The policyholder portal on a phone: the claim's status, total RCV and items by room (illustrative scene, real portal screen, address hidden).

From a phone to the claim

Follow one upload from the policyholder's portal into the claim, screen by screen: they add the details and submit, then you approve the photo into a room.

Real screens from the demo claim CLM-26-0582: a photo of a water-damaged upright vacuum, sent from the portal and approved into the Laundry Room with AI analysis. An approved receipt or document goes to the claim's documents instead.

Their claim, in plain view

The policyholder sees the claim number, its status, the date of loss, the peril and the Total RCV, with any coverage limits you've entered. Items are listed room by room with their prices, and they can add rooms of their own for the photos they upload.

Four buttons cover what you need from them: Upload Receipts, Upload Photos, Upload Documents and Ask for Help. Everything they upload is saved as a draft until they tap Submit, so nothing reaches you half-finished.

  • Status, date of loss, peril and Total RCV
  • Items by room, with edits sent as change requests
  • Shared With You: documents to view and sign
  • ALE expenses with receipts, when the claim has ALE

You decide what changes

Policyholders can't overwrite your inventory. An edit to an item's title, description, price, quantity, age, notes or room becomes a change request, listed under Policyholder Edits with a count and their note.

Open one and each change sits side by side, current value against proposed. Approve or reject each one, or approve them all. Approved changes apply to the item and the policyholder hears back by email.

  • Current and proposed values side by side
  • Approve, reject or approve all
  • Uploads and edits reviewed in the same tab
  • Recent Movement logs every approval and rejection

The conversation lives with the claim

Each portal has its own message thread on the claim. Your team writes from the Portals tab, the policyholder from their portal, and read receipts show when a message was seen.

Your team gets an in-app notification when files are submitted, changes come in, a document is opened or signed, or a message arrives. New messages and completed signatures also arrive by email. Policyholders get their invitation, signature requests, signed copies and reviewed changes by email.

Signed in the portal, recorded on the claim

Request a signature from any document in the claim's library and choose the signer: the policyholder or the carrier contact. On a PDF, place the fields first: signature, initials, date, full name, text or a checkbox.

The signer reviews, types their legal name, draws a signature and agrees to sign electronically. The signed PDF gets a certificate page with the signer, time, document hash, signature hash and IP address, and the document's history shows when it was sent, opened, signed or declined.

  • Statuses: Pending, Viewed, Signed, Declined, Expired
  • Requests expire after 30 days by default
  • Signer can decline, with an optional reason

Open the door, close it when you want

Invite by email and code

Each invitation carries a CT- access code tied to that email address and that claim. The policyholder sets their own portal password, so there's no full ClaimTime account to manage.

View as client

Open the policyholder's portal in a read-only preview to check exactly what they see, item by item.

Revoke access

One click in the Portals tab ends a policyholder's or carrier's access to the claim. Re-invite them later if you need to.

After the claim closes

When you close a claim, policyholder access stays open for 30 days so they can download documents or finish uploads. Reopen the claim and the countdown is cleared.

Carrier portal

Carrier contacts see the claim and its shared documents, upload supporting files, propose item changes, message and sign. They don't approve claims; decisions stay with you.

Part of Pro

The policyholder and carrier portals come with the Pro and Enterprise plans. Access you've already granted keeps working.

What they send becomes the claim

Approved uploads don't sit in an inbox. They land where the rest of the claim already lives.

  • AI contents inventory: An approved item photo goes to the room you pick, and AI photo analysis turns it into a line item for your review.
  • Claim workspace: Approved receipts and documents join the claim's document library, next to your notes, tasks and e-signature requests.
  • Reports & exports: Signed documents travel with the claim into the claim package you deliver.

Questions about the portals

Does the policyholder need to install an app?

No. The portal runs in any web browser, on a phone or a computer. Photos can be taken with the phone's camera right in the browser.

How does the policyholder get in?

You invite them by email from the claim. The email has a link and an access code that starts with CT-. They enter the code, set a portal password and see that one claim. The code is valid for 7 days.

Can I revoke access?

Yes. Revoke access from the Portals tab and the invitation and portal access stop working for that claim. You can re-invite the same person later.

How long does access last after I close the claim?

Policyholder access stays available for 30 days after the claim is closed, so they can download documents or finish uploads. Reopening the claim clears the countdown. Carrier access lasts until you revoke it.

Can the carrier approve the claim in the portal?

No. Carrier contacts can view the claim, upload files, propose item changes, message your team and sign documents assigned to them. Every approval stays with you.

Is e-signature included?

Yes. E-signature works through the portals: request a signature from the claim's documents, place fields on a PDF, and the signer signs from their portal. Each signed PDF gets a certificate page.

Which plans include portals?

The policyholder and carrier portals are included on the Pro and Enterprise plans.
