AI contents inventory

From claim photos to a contents inventory

Upload item photos room by room. AI photo analysis names each item, reads brands and model numbers off labels when the photo shows them, sorts it into a category and marks what needs your eye. You review the lines and approve them one by one.

Every item, typed by hand

A contents claim can run to hundreds of lines. Typed from a camera roll, the list is slow to build and hard to check.

The manual way

  • Scroll a camera roll and type each item into a spreadsheet.
  • Squint at labels for brands and model numbers, or skip them.
  • Rooms, photos and the list live in separate places.
  • No quick way to see which lines still need a second look.

With ClaimTime

  • Upload photos to a room; each one becomes a line with its photo attached.
  • Brands and model numbers are read off labels when the photo shows them.
  • Each room carries its own RCV beside the claim's Total RCV.
  • Filters pull up what's missing review, needs pricing or is flagged.

Four steps from photo to inventory

  1. Capture. Upload photos to a room, or take them with your phone's camera. Already have a list? Import it, or add an item by hand.
  2. AI photo analysis. Each photo is analyzed for one primary item: title, description, brand and model, category, condition, quantity and pack size, with a confidence score.
  3. Priced and filed. The line lands in its room with up to three retail sources and its RCV. How prices are found is on the AI replacement cost pricing page.
  4. Review and approve. Work through the filters, fix what needs fixing and approve each line, with the mouse or the A and R keys.

One photo, one line item

Pick a photo from the sample claim and open the line the analysis saved for it: title, description, category, status, confidence, quantity, age, price and source.

Sample claim CLM-26-0582: the claim's own photos and their Item Details in ClaimTime. Depreciation has been applied to these lines, so the pricing breakdown runs on to ACV.

Every item in its room

Items are filed in rooms, the way you walk the loss. Each room shows its item count, its Room RCV and the claim's Total RCV, so you always know where the value sits.

All Rooms puts every item in one view, but each photo is uploaded into a real room, so nothing is left unassigned. The rooms are shared with Sketch & room scans: add or rename one and it changes in both places.

  • A Rooms list plus an All Rooms view
  • Room RCV and Total RCV for every room
  • Unit price × quantity = RCV on every line
  • Search across items, prices and sources

Browse by photo, review by line

Grid View, as in the Living Room at the top of this page, shows each item as a card with its photo, status, confidence badge, title, description and price. Column View gives each line a row: price × quantity = RCV, depreciation and ACV once applied, and the sources beside the line, so you can check and edit without opening each item.

The sample Living Room in Column View. The same filters and counts work in both views, and undo and redo keep edits safe.

Review what matters, approve as you go

Every line carries a status: Complete, Partial Sources, Needs Pricing or Needs Review, or a flag such as Multi-Item when a photo shows several things. The confidence badge shows how sure the analysis is: Verified from 76%, Estimated between 40% and 75%, Needs Review under 40%.

Filter pulls those lines up with their counts. Mark a line as reviewed with its check, or press A to approve and R to reject, and move between items with the arrow keys. Lines are approved one at a time, so each gets a look.

  • Missing Review, Reviewed, Flagged, Duplicates, Needs Pricing
  • Mark as Reviewed on every line
  • A approves, R rejects, arrows move
  • Sort by upload order, price, confidence or last update

Tidy the list without retyping it

Upload the same photo twice, or a near-identical one, and the second copy is marked Duplicate, linked to the original and left out of the room and claim totals. Unlink it if it really is a second item.

When two photos show the same object, Combine Items merges them: the original keeps its price and shows all the photos. Select several lines to set their category, apply an allowance or clean status, or apply age-based depreciation in one step.

More ways to build the list

Photos are the quickest way in, not the only one.

Import an item list

Have the policyholder's list already? Upload it as a CSV or Excel file, a PDF or an image. Each line becomes an item and is priced like a photo, using one Time Token per line.

Add an item by hand

Manual Upload creates a line yourself: title, description, price, quantity, category and age, with a photo if you have one.

Take photos on your phone

Open the claim in your phone's browser and use Take Photos: capture each item, review the shots and add details before they upload to the room.

From the policyholder

On business plans, the policyholder uploads photos through the policyholder portal. You approve each one into a room and start its analysis.

The inventory the claim is built on

Each line carries its photo, room and price into the rest of ClaimTime.

  • AI replacement cost pricing: Each line gets up to three new-retail sources; open them to switch the price or set your own.
  • Depreciation manager: Age, rate per year and cap turn each line's RCV into ACV, for one line, a room or the whole claim.
  • Reports & exports: The inventory goes out room by room in the Excel workbook, the HTML claim report and the claim package.

Questions about the inventory

Does each photo become one item?

Yes. The analysis identifies one primary item per photo and makes it one line. For several identical things, set the quantity on that line.

What if a photo shows several items?

The analysis picks the most prominent item and flags the line Multi-Item so you know to check it. It doesn't split the photo into separate lines: take one photo per item, or add the others by hand.

Can I import an inventory I already have?

Yes. Upload the list as a CSV or Excel file, a PDF or an image. Each line becomes an item, is priced like a photo and uses one Time Token.

Does it work on my phone?

Yes. ClaimTime runs in your phone's browser, and Take Photos uses the camera to capture items straight into a room.

What needs my review?

Lines with a Needs Review status or a flag, lines still without a price, and anything the confidence badge marks Estimated or Needs Review. The Missing Review filter lists every line you haven't approved yet.

Does the AI estimate an item's age?

No. Age comes from you or the policyholder: enter it on the line, or for several lines at once when you apply depreciation.

Can I edit what the AI found?

Yes. Edit any line's title, description, quantity, price or source link. Your edits are marked as edited and kept when you re-analyze, unless you choose to overwrite them.
