Claim workspace
Every claim, task and teammate in one workspace
Run the claim file next to the contents inventory: a claims list with statuses and pins, an Overview that tracks each claim's readiness, tasks and a calendar for the team, documents with e-signature, and analytics across the portfolio.
The inventory is ready. Where is everything else?
Contents work is only part of a claim. The rest usually lives in a tracker, a shared inbox and somebody's memory.
The manual way
- Claim status lives in a spreadsheet that's out of date by Friday.
- Follow-ups sit in personal to-do lists nobody else can see.
- Signed forms and receipts are spread over email and shared drives.
- Nobody can tell which claims are close to done without opening each one.
With ClaimTime
- Every claim has a status, a team and a value, filtered in one list.
- Tasks and due dates are shared, on a board and on the calendar.
- Documents, signatures, notes and messages stay on the claim.
- Each claim's Overview shows its readiness steps and what still needs attention.
From first call to closed file
- Open and assign. Create the claim, put it in the right workspace and assign the team. Pin the ones you're working on so they stay at the top.
- Build the claim. Contents, rooms, documents and portal uploads all feed the claim's Overview, which marks each readiness step as it's done.
- Track the work. Turn follow-ups into tasks with a priority and a due date. They land on the task board and the team calendar.
- Close it out. Move the status along, export what you deliver and close the claim. Archived claims stay one tab away.

Pick a claim, see where it stands
Step from the claims list to one claim: the list view, a status filter, then the claim's Overview with its readiness steps, insights, status and team.
Real screens of the demo business, Harbor & Pine Adjusters, and its four fictional claims (addresses hidden). Readiness steps and insights follow the app's fixed rules for each claim's data.
A status for every stage of the claim
Six statuses: New, In Progress, Approved, Active, Closed and Archived. They drive the status tabs, the open and closed counts, and what can still change on a claim.
Filter by status
Status tabs above the claims list show one stage at a time. Search covers claim numbers, clients, perils, workspaces and team members.
Change it where you work
Set the status from the claim's Overview or from the claims list menu. The Overview keeps the claim's recent status changes.
Closed means closed
A closed or archived claim shows a banner, some actions are limited, and portal uploads wait until you reopen it. Restore an archived claim when you need it.
Follow-ups the whole team can see
A task belongs to a claim, has an owner, a priority (High, Medium or Low) and a due date. The board sorts work into Backlog, To Do, In Progress and Completed; the list view shows the same tasks in rows.
Overdue dates turn red, and the page counts open, in-progress, completed and overdue tasks. Filter by priority, status or assignee, or search by task, claim, client or teammate. Owners and admins create tasks, with templates such as Review all items or Verify pricing & scope.
Due dates and claim dates on one calendar
Task due dates and claim milestones, such as the date of loss and the day a claim was created, appear on the calendar on their own. Add your own events: team meetings, claim reviews, client follow-ups, with a related claim or task and a meeting link.
Switch between monthly, weekly and daily views and filter by tasks, claims, events, overdue or upcoming. Attendees get an in-app notification and an email when an event is created, changed or canceled.
- Task due dates, overdue in red
- Claim milestones from claim records
- Events with attendees, linked to a claim or task
The right people on the right claims
Invite teammates by email and give each one a role. Owners and Admins add members, change roles and create workspaces; Members work their claims; only the Owner manages billing.
Workspaces group claims inside a business, for example residential and large-loss files, each with its own members and permissions. Filter the claims list by workspace, and assign a team to each claim from its Overview.
The paper trail stays with the claim
Documents and e-signature
A document library per claim: upload, share to the policyholder or carrier portal, email a time-limited link, and request signatures with a certificate for each signed PDF.
Notes
Log a call, a team handoff, a reminder or a follow-up on the claim's Overview. Send a note to everyone or one teammate, and pin the ones that matter.
Messages
Message teammates from the Messages page. Conversations with the policyholder and the carrier stay in each claim's portal messages.
The portfolio at a glance
Analytics counts total, open and closed claims, adds up the visible RCV, and tracks contents items and overdue tasks for the date range, workspace, status and assignee you pick. Charts show claim value over time and break claims and RCV down by status and workspace.
Smart Signals flag patterns with fixed rules: overdue tasks, tasks due soon, open claims outpacing closed ones, or high-value claims with no recent movement. Export the report as a CSV file, or as an Excel-compatible CSV.
Two more tools on every claim
Estimate comparison
Upload your estimate and the carrier's as PDF, XLSX or CSV. ClaimTime reads both, you confirm the lines, and the comparison sorts them into matched, quantity differences, price differences, missing from the carrier and carrier extras, with the dollar variance. Add notes and export a supplement.
ALE workspace
Set up additional living expense for the claim: policy limits and dates, the household's needs and the pre-loss baseline. Compare temporary housing options against the limit and track expenses with receipts. It estimates; policy review still decides coverage.
Where every other feature reports in
The workspace is where the rest of ClaimTime shows up: contents, portals and the assistant all read from and write to the same claim.
- AI contents inventory: Item counts and review status feed the Overview's Contents step and its insights.
- Portals: Pending portal uploads show up in the readiness steps until you review them.
- ClaimTime AI Assistant: Ask ClaimTime reads the same claims, tasks and documents to answer questions about your workspace.
Questions about the claim workspace
Which parts need a business plan?
Tasks, the calendar, analytics, team messages, members and claim team assignment come with the Basic, Pro and Enterprise plans. The policyholder and carrier portals need Pro or Enterprise. The claims list, the Overview, contents, documents, notes and estimate comparison work on every account.
Does the calendar sync with my calendar app?
No. The ClaimTime calendar is in the app: task due dates, claim milestones and the events you add. Attendees are notified in the app and by email when an event changes.
Are the Overview insights AI?
No. Readiness steps and insights are fixed checks on the claim's own data, such as items waiting for review, rooms without measurements or a claim with no documents. The same data always gives the same result.
What is a workspace?
A group of claims inside a business, with its own members and permissions. Use workspaces to separate teams, offices or claim types, and filter the claims list by workspace. A personal account has one workspace.
Who can invite people and change roles?
Owners and Admins invite members, change roles and create workspaces. Members work on claims. Only the Owner manages billing.
Can I export the analytics?
Yes. Export the report from the Analytics page as a CSV file, or as an Excel-compatible CSV.
